Process description
Long service awards are presented to employees for their years of service in the public service. Work involved in processing these awards includes calculating and verifying years of service.
Employee responsibilities
If you are eligible for a long service award but have been overlooked by the department, advise the department’s awards coordinator (or responsible party in the department). Be prepared to provide documentation (such as letters of offer) to support your claim.
Manager responsibilities
The manager is responsible for advising the department’s awards coordinator (or responsible party in the department) that an employee is eligible for a long service award.
Human resources responsibilities
Human resources:
- conducts the initial calculation of long service award dates (using available departmental Human Resources Management System data)
- asks the Pay Centre to validate their dates and calculations (by sending the information to the Pay Centre to be validated under cover of a completed pay action request)
- identifies any specific details regarding types of service to be validated (if applicable)
Pay Centre responsibilities
The Pay Centre:
- validates service dates and long service calculations using the department’s Human Resources Management System data, Phoenix data and file review (if required)
- confirms the calculations
- requests additional information from the human resources contact (if required)
