GClingua for Translation Bureau clients

GClingua lets you easily obtain the Translation Bureau’s quality linguistic services. Learn more about the roll-out of this new solution and find out how to access it, how to use it to request or receive linguistic services and how to submit a request outside regular business hours.

GClingua supports the effective and efficient management of your requests. Its user-friendly interface can be accessed from anywhere, and just a few clicks get you the translation, interpretation and terminology services you’re looking for.

With strict measures for access control and data encryption, GClingua supports Protected A and Protected B documents, providing easy and secure handling of your sensitive information.

This is Paula.

Paula loves GClingua, from Public Services and Procurement Canada’s Translation Bureau. GClingua allows her to submit her translation requests with just a few clicks.

But did you know, Paula, that a high-quality translation takes so much more than just a few clicks?

When your request is submitted in GClingua, a Translation Bureau client advisor first has to confirm the work to be done. Always make sure you clearly indicate what needs to be translated, so your request can be analyzed faster!

The client advisor then assigns your request to a translator who is familiar with the text’s area of specialization. By means of GClingua’s sophisticated tools, the translator translates the text, making sure to use the correct terminology. Any reference documents you provide are a great help to the translator. So never hesitate to include some if you can!

Depending on what needs to be done for your request, a host of other Translation Bureau professionals may be involved, from terminologists to desktop publishing technicians.

And before your translation is delivered to you, it’s reviewed to ensure it meets the Bureau’s quality standards.

Roll-out of GClingua

GClingua is being rolled out in waves. Translation Bureau clients are divided into 11 groups (or “waves”) that will each receive access in turn. You will continue to use your usual method to obtain linguistic services from the Translation Bureau until you gain access to GClingua.

The waves will all vary in length. The Translation Bureau will notify you approximately 2 months in advance of the date on which you will gain access to GClingua. Before that date, you will have the chance to familiarize yourself with the solution through

Federal departments and agencies that had access to the On-line Ordering System (page accessible only on the Government of Canada network) will maintain their access solely to consult their previous invoices; they will need to contact the Translation Bureau if they would like a copy of their previous translations, and use GClingua to submit their new requests.

Note

Neither the On-line Ordering System nor GClingua is designed to store documents in the long term; therefore, the Translation Bureau encourages its clients to keep their invoices and translations in their organization’s recordkeeping system.

Accessing GClingua

GClingua is hosted on a secure cloud. To access it, you must have an Internet connection, an active user account and a password.

To obtain a user account, please contact the Translation Bureau.

Note

A user account can only be obtained if GClingua has been rolled out in your organization. Please refer to the roll-out of GClingua section for more information.

Requesting and receiving linguistic services through GClingua

Note

For now, terminology, conference interpretation, closed captioning, sign language interpretation and oral transliteration services cannot be requested through GClingua. For more information on how to obtain these services until they are added to GClingua, please visit the linguistic services for the federal government page (accessible only on the Government of Canada network) or contact the Translation Bureau. Please note that clients who do not yet have access to GClingua must continue using their usual method of obtaining linguistic services from the Translation Bureau.

You will find below the steps to request and receive linguistic services through GClingua.

Creating a new project from scratch

  1. from the Dashboard tab, click on the New Project icon to open the form and create a new service request
  2. in the Contact Information section:
    • your name will auto-populate in the Name field. To choose a different name, select one from the drop-down menu
    • enter the financial coding in the Project IS Ref Code field
    • enter the email address of any other recipients for this request in the Other CC field. They must have an active GClingua account in order to retrieve the document
  3. in the Project Information section:
    • choose the type of service needed in the Services List field
    • indicate the language of the document in the Source Language field
    • indicate the language required in the Target Language field. You can add multiple languages in this field for all multilingual requests, but not for official languages requests
    • indicate the security classification in the Security Code field. It is important to make sure that the proper code is assigned to the project in order to prevent a security breach
    • select the type of text in the Document Type field
    • indicate the specialty of the text in the Domain field
    • in the Partial Translation field, indicate whether only part of the document needs to be translated (for example, for modifications to an existing translation). While not mandatory, you can hide the text that does not need to be translated, in order to speed up the processing of the document
    • the Date Requested field will auto-populate
    • indicate the requested deadline in the Target Date field, keeping in mind the Translation Bureau service standards (page accessible only on the Government of Canada network)
    • if you wish, enter a reference number for your own records in the Client Reference Number field
    • if you want a quote before the translation begins, make sure to select Quote Required
  4. add any special information, instructions or comments for the Translation Bureau in the Instructions and Comments box
  5. add your documents in the Documents to Attach section
    • there are 2 ways to add documents: either drag and drop the documents in the Documents to Attach box, or use the Add Files button
    • once the documents are attached, make sure to identify any that are to be used only as a reference by selecting Reference

    Note: The Copy Short Excerpt to Translate box is an optional entry that allows you to copy or type the text to be translated directly into the request, without adding a file.

  6. click on the Submit button

Cloning an existing project

  1. select a project from the Projects List by clicking on the project number
  2. click on the Clone Project button at the bottom of the Projects List
  3. modify the Contact Information, if applicable
  4. indicate the deadline in the Target Date field of the Project Information section, keeping in mind the Translation Bureau service standards (page accessible only on the Government of Canada network)
  5. add the files to be translated and reference documents in the Documents to Attach section, or add the text to be translated in the Copy Short Excerpt to Translate box. Make sure to identify documents that are to be used only as a reference by selecting Reference
  6. add any special information, instructions or comments for the Translation Bureau in the Instructions and Comments box
  7. click on the Submit button

Retrieving the completed files

  1. once a project has been delivered in GClingua, you will receive an email notification with a link to the delivered document(s). Clicking on the link will lead you to the GClingua home page
  2. log in to GClingua
  3. click on the Dashboard menu
  4. in the To Do List section, click on Download File
  5. under Projects List, the projects with the status Delivered will appear. Click on the project number and then on the arrow under Source Files / Target Files
  6. to download your translated document(s), click on Download All Target Files

After-Hours Emergency Service

The roll-out of GClingua does not affect how you obtain Translation Bureau services after regular business hours.

The Translation Bureau’s regular business hours are from 8:00 a.m. to 5:00 p.m. (EST), Monday to Friday, excepting statutory holidays. If you submit your translation or revision request in GClingua for immediate processing outside of these hours, you must telephone:

GClingua’s Protected B environment ensures that your information is secure. You can have full confidence when submitting your Protected A and B documents in GClingua, thanks to its security measures:
